Create a Payout Statement

Payout statements are the default way to pay your vendors. A statement records the exact sales included, calculates the amount due, and creates a PDF you can share. You then settle it either by sending the money through PayPal or by recording a payment you made another way.

Flow: Select sales → Review the draft → Settle the statement (pay via PayPal or record a payment).

1. Open Payouts → Statements and select Create payout statement.
2. Choose one vendor and a sales period, then select the eligible unpaid sales to include. Sales already on another draft or already paid are not shown.
3. Create the draft and review the itemized total. You can edit the included sales or download the PDF from the statement.
4. Settle the statement using one of the two options below.

Settle the statement

Open the draft and pick one of these two mutually exclusive options — you only need to complete one:

1. Pay via PayPal Payouts – sends the money to the vendor through your connected PayPal account, records the payout, and marks the statement paid automatically. This option appears only when PayPal is set up (see Add Your PayPal Account) and the total is greater than zero.
2. Record a payment – use this when you already paid the vendor another way, such as a bank transfer or cash. Enter the paid date, amount, and an optional reference or notes to finalize the statement.

The amount defaults to the statement total, but you can override it. If the amount you enter does not match the total, VendorPayout asks you to confirm before continuing, and any difference remains owed to the vendor. PayPal Payouts can only send an amount greater than zero.

Once settled, the included sales are marked paid and the vendor can see the same statement and PDF in their portal. You can Cancel a draft to release its sales for a future statement. Older paid rows are legacy records and may not have a linked statement.
